ICS is looking to hire the right candidate to join the operations team, who’d get exposure to various roles in supporting the church.

Job Title: Executive Assistant
Reports To: Kathleen Yang
Works with: Ministry leaders, Church volunteers, Senior Pastor, and ICS Staff
Principle Function:
Executive Assistant will serve the church by fully assisting the church’s daily operations and supporting multiple ministries.
Significant Responsibilities:
- Office Administrator
• Manages the Church office day to day-to-day essentials to ensure the smooth operation of the office including but not limited to purchasing, maintenance, document processing, organizing meetings, etc.
• Track office stocks and supplies and make orders when necessary
• Fully supports the Manager in coordinating events and delivering various tasks on a timely manner - Provide any administrative support to their assigned ministry/ministries
• Scheduling/Rostering for servers to serve on Sunday service if any
• Able to organize special events and admin preparations
• Support ministry leader during weekly routine - Support in weekly Sunday service operations
• Report to Millennium Hotel on Sunday weekly by 7:15 am
• Set up at the information table and other ministry booths if any
• Ensure the information table is always available for query at all times
• Relationship building with ICS members and newcomers if they are new to ICS
• Be occasionally alert to the operation needs during the main service - Support church special events and quarterly seminars.
• Generate communication materials such as posters and other communication graphics if needed
• Support at various areas when needed on the day of the event
• Each role and responsibility can vary depending on the events itself - Weekly ICS Communications/Socials
• Generate weekly ICS WeChat social posts
• Generate weekly Church bulletin - Fulfill any additional support from the Senior Pastor when needed
- Be a great team player to support other staff when needed
Qualifications:
• Have relevant experience of at least 2 years in office administrative
• Minimum of a Bachelor’s degree
• Great interpersonal and communication skills
• Ability to multi-task at a time and expected to work independently after training
• Good written and oral communication
• Being able to fluently communicate in both English and Chinese is preferred
• Intermediate computer and software skills are preferred
• A great team player within the office
Based location: Shanghai, China
Days/Hours: Full-Time (Tuesday to Sunday, with Saturday and Monday off)
